Operations Manager

We're looking for a senior Operations Manager to setup and maintain the processes related to: facilities management (2 offices - in Kyiv and Krakow); hardware and software management; business travel and immigration procedures and team events.

If you are an excellent executor with extensive experience in managing company operations and facilities independently, having strong project management skills, and being able to create and implement business processes across the organization, this position will be a great fit for you.

Responsibilities:

Administrative Operations

  • Managing operations budget (facilities, admin, travel, immigration, team events, benefits, hardware, software)
  • Keeping all policies complete and up to date
  • Supporting the team in signing agreements and NDAs
  • Supporting Railswarians’ benefits (including medical insurance, language courses, hardware etc)
  • Coordinating business travel and immigration processes according to the internal policies
Facilities

  • Identifying requirements for the new office by gathering feedback from Railswarians, determining project scope, shaping action plan, acting on it and documenting results
  • Estimating project budget, monitoring actual costs against project estimates
  • Maintaining continuous communication between the internal team and the external contractors and vendors
  • Tracking office health and constantly keeping it on a sufficient level
  • Managing all aspects of hardware and software purchasing, usage, and record keeping (inventory)
Event Management

  • Planning, organizing and budgeting regular team events
  • Serving as the main point of contact between internal team and external vendors
  • Gathering Railswarians’ feedback on the events in order to constantly improve the organization process
  • Overseeing cultural and team building events to maintain a happy and engaged workplace

Required Skills and Experience

  • 3+ years of relevant experience (including all areas of responsibility listed above)
  • Ability to decompose strategy into actionable items, processes and policies
  • Having own vision on running the facilities, and being able to execute it (we now need to move to a new office and renovate it from scratch, and keep the office health on a sufficient level)
  • Proven success in creating and implementing business processes, checklists, policies
  • Being able to automate processes and checklists using Google Sheets, Jira, Zapier and other tools
  • Ability to build strong relationships across the organization
  • Proven successful experience in people and project management
  • Very detail oriented and proactive nature with a positive attitude
  • High-level of resourcefulness, confidence, and problem-solving skills
  • Excellent command of English, both written and spoken
