We're looking for a Senior Facilities Operations Manager to setup and maintain Railsware workspaces, hardware and software, business travel, immigration procedures, as well as team events.

If you are an excellent executor with extensive experience in managing company operations and facilities independently, having strong project management skills, and ability to create and implement business processes across the organization, this position will be a great fit for you.


Administrative Operations

  • Manage operations budget (facilities, admin, travel, immigration, team events, benefits, hardware, software)
  • Keep all the policies complete and up to date
  • Support the team in signing agreements and NDAs
  • Support Railswarians’ benefits (medical insurance, language courses, hardware, etc.)
  • Coordinate business travel and immigration processes according to the internal policies


  • Identify requirements for the new office by gathering feedback from Railswarians, determine project scope, shape action plan, act on it and document results
  • Estimate project budget, monitor actual costs against project estimates
  • Maintain continuous communication between internal team and the external contractors and vendors
  • Track office health and constantly keep it on a sufficient level
  • Manage all the aspects of hardware and software purchase, usage, and record keeping (inventory)

Event Management

  • Plan, organize and budget regular team events
  • Serve as a liaison between the internal team and external vendors
  • Gather Railswarians’ feedback on the events in order to constantly improve the organization process
  • Oversee cultural and team building events to maintain a happy and engaged workplace

Required Skills and Experience

  • 3+ years of relevant experience including all the areas of responsibility listed above
  • Ability to decompose strategy into actionable items, processes, and policies
  • Own vision on running facilities and ability to execute it
  • Proven success in creating and implementing business processes, checklists, policies
  • Ability to automate processes and checklists using Google Sheets, Jira, Zapier, and other tools
  • Ability to build strong relationships across the organization
  • Proven successful experience in people and project management
  • Very detail oriented and proactive nature with a positive attitude
  • High-level of resourcefulness, confidence, and problem-solving skills
  • Excellent command of English, both written and spoken

Mailtrap and Smart Checklist for JIRA are examples of our own products. We built them to make our work better. Now, these tools are used by dev teams at Atlassian, Adobe, Github, Yelp, Pivotal, and, of course, by our clients.
