As an Event & Travel Manager at Railsware you will be responsible for coming up with the most entertaining activities, choosing the best venues for them and ensuring that everything goes as planned.

Your Responsibilities

Event management

  • Form a vision on event management at Railsware and make sure it’s aligned with the strategy
  • Organize and manage events
    • Yearly Railsware Summit
    • Team building activities
    • Knowledge sharing sessions/meetups
  • Manage company’s swag and branding materials production
  • Serve as a liaison between the internal team and external vendors
  • Gather Railswarians’ feedback on the events to constantly strive for greatness
  • Research what other companies in our category do
  • Develop, document and improve processes and procedures around company’s events
  • Oversee cultural and team building activities to maintain a happy and engaging work environment


  • Plan, organize and manage operations budget (travel expenses, company events)
  • Organize and support business travel:
    • Visa
    • Accommodation and transportation
  • Keep all the processes balanced and up to date
  • Coordinate events and business trips according to the internal policies and local law
  • Organize record-keeping: documents, files, invoices related to company activities, event logs, deadlines, limits (like visa days)

Required Skills and Experience

  • 3+ years of relevant experience, including all the areas of responsibility listed above
  • Ability to decompose strategy into actionable items and processes, and prioritize them
  • Own vision and proactive approach to how to run events and company trips
  • Proven success in creating and implementing business processes, checklists, and policies
  • Own approaches to hyper organisation including but not limited to:
    • Ability to automate processes using Google Sheets
    • Tracking tools (like Jira, Asana, Trello etc.)
  • Ability to build strong relationships across the organization
  • Proven successful experience in people and project management
  • An eye for details and proactive nature with a positive attitude
  • High-level of resourcefulness, negotiation, confidence, and problem-solving temper
  • Strategic thinking and process ownership
  • Experience in working on multiple projects of various complexity simultaneously
  • Excellent command of English, both written and spoken
  • Experience in ​facility management​ will be a huge plus as colleagues would require assistance
