We are looking for a highly organized Office Manager for our Kraków location to manage daily office operations with help us create a comfortable and well-equipped environment for the Railsware team, and support travel and relocation activities!
You will be responsible for the workspace and ensure all related processes run smoothly. If you are a highly organized, reliable, and helpful person, this position is a great fit for you!
This is an on-site position, we expect you to work from the Kraków office.
Your Skills
- Upper-intermediate English, fluent Polish
- Excellent organizational skills, including the ability to effectively plan, prioritize, and manage tasks, resources, and information
- Computer literacy and the ability to intuitively understand and use new software
- Strong interpersonal and communication skills, including the ability to communicate and build positive relationships with staff, clients, vendors, and other stakeholders
- Problem-solving skills with the ability to identify and resolve issues in a timely and efficient manner
- Proactive attitude with a “Get things done” mentality
- Strong service orientation with a focus on delivering excellent service and communication at all times
- Ability to quickly adjust to changing circumstances in a fast-paced environment
Would be a plus:
- Prior experience in office management, administration, procurement, relocation support, or customer service
- Advanced skills in Google Suite, especially in Google Sheets
- Experience with task-tracking tools such as Jira, Trello, Asana, etc.
Your Responsibilities:
- Organize office maintenance to ensure optimal operation with all necessary tools and equipment
- Handle all office-related issues and requests
- Accurately process accounting documentation and present it to the Financial team
- Ensure timely and accurate delivery of incoming and outgoing packages and mail
- Collaborate with the Financial and Operations teams to streamline office processes for efficient operation
- Serve as the point of contact for facility management vendors, including cleaning, catering, as well as medical insurance provider and security services. Establish and improve relationships with these providers
- Plan and coordinate travel arrangements for office staff, including flights, accommodations, and transportation
- Handle ongoing expense reports and manage the office budget
- Track the office equipment inventory
- Provide support for hardware repairs and delivery requests
- Support procurement team with local and international purchases, such as SWAG, hardware, marketing materials, etc.
- Support team with office renovation activities
- Contribute to the company’s volunteering initiatives
