We’re looking for an Office Manager in Kyiv, who will help us create a comfortable and well-equipped environment for the Railsware team. You will take responsibility over the workspace and make sure that all related processes run smoothly.

Your Skills

  • At least upper-intermediate level of English
  • Computer literacy – you are able to intuitively understand and start using new software
  • Process-orientation - you are able to create and follow ready-to-go checklists from top to bottom as well as describe new processes
  • High organizational skills (time management, prioritization, and ability to handle multiple issues)
  • Good communication and interpersonal skills (relationship building, empathy, and helpfulness)
  • Service orientation and high problem-solving skills
  • Readiness to help with various tasks related to office management, procurement, HR, travel

Would be a plus:

  • Previous experience in office management, administrative, or customer service position
  • Solid skills in GSuite, especially in Google Sheets
  • Experience with task tracking tools (Jira, Trello, Asana, etc.)
  • Experience in organizing events and travels

Your Responsibilities:

  • Organize office maintenance and ensure that office operates optimally with all necessary tools and equipment
  • Handle all office-related issues, deliveries, and requests
  • Organize business trips and other related travels around the world
  • Organize small events (team dinners, celebrations, etc.) and support global gatherings
  • Work closely with Financial and Procurement teams to manage office purchases and processes so that they run smoothly
  • Process accounting documentation accurately and present it to the Financial team
  • Work with ongoing expense reports and office budgets
  • Track the hardware and office equipment inventory
  • Process company’s correspondence
  • Be a liaison with facility management vendors, including cleaning, catering, and security services; establish and improve relationships with vendors
